Setup for Outlook - IMAP with Google

 

The instructions below allow you to use IMAP with Google to read your Google mail, but when you send messages, they will go out through Harding's email server.

 

The Set up Process

 

Step 1:

Go to the Google web site at this link for instructions on how to enable IMAP in your Harding Google email account. (http://mail.google.com/support/bin/answer.py?hl=en&ctx=mail&answer=75726)

Don't forget to click Save Changes when you're done.

 

Return here for instructions on setting up Outlook - the help at Google will use Google for outgoing mail.

 

Step 2:

Depending on whether you use Outlook 2003 or Outlook 2007, choose one of the two procedures below:

 

Outlook 2007:

 

Open Outlook.

For new setups, select 'Do not upgrade.'

Select 'Yes.'

Enter display name, email address (including '@harding.edu'), and password.

Click 'Manually configure...'

Select 'Internet E-mail.'

Settings: name, full email address (including '@harding.edu')

Select IMAP; use given incoming/outgoing servers.

Username should be full Gmail address, including '@harding.edu'.

After this screen, clicking 'Next' takes you to the end of the setup.

Select Tools > Options > Mail Setup. Under 'Email Accounts,' click 'E-mail Accounts.' Select account, and click 'Change' above the list of accounts. Click 'More Settings,' then the 'Advanced' tab.

Incoming server must be 993, and must use SSL encryption.

FOR ON CAMPUS USE ONLY, Outgoing server can stay port 25.

FOR BOTH ON AND OFF CAMPUS Outgoing server can use 465 or 587 with TLS encryption.

Click 'Outgoing Server.' Make sure that 'My outgoing server (SMTP) requires authentication' is selected. The radio button 'Use same settings as my incoming mail server' should also be selected.

Click 'OK' > 'Next' > 'Finish' > 'Close' > 'OK.'

Congratulations! You're done configuring Outlook 2007 to retrieve messages from Google using IMAP while still sending email messages through Harding's campus mail server.

 

Outlook 2003:

 

Open Outlook.

Click the Tools menu, and select E-mail Accounts...

Click Add a new e-mail account, and click Next.

Choose IMAP as your server type by clicking the radio button, and click Next.

Fill in all necessary fields to include the following information:

User Information

Your Name: Enter your name as you would like it to appear in the From: field of outgoing messages. (ex: John Doe)

Email Address: Enter your full Harding email address (username@harding.edu)

Server Information

Incoming mail server (IMAP): imap.gmail.com

Outgoing mail server (SMTP): mail.harding.edu

Login Information

User Name: Enter your Harding username (including @harding.edu)

Password: Enter your Harding password

Click More Settings...

If you will be using your computer on campus only, you may skip this step. If you will be using your computer off campus or if you have a portable computer that may be used both places, then do the following:

Click the Outgoing Server tab.

Check the box next to My outgoing server (SMTP) requires authentication and select Use same settings as my incoming mail server.

Click the Advanced tab, and check the box next to This server requires an encrypted connection (SSL) under Incoming Server (IMAP).

Check the box next to This server requires an encrypted connection (SSL).

If you will be using your computer off campus, enter 465 in the Outgoing server (SMTP) box. Otherwise, leave it at 25.

It is a good idea to slide the Server Timeouts timer over to 4-5 minutes.

Click OK.

Click Test Account Settings... After receiving Congratulations! All tests completed successfully, click Close.

Click Next, and then click Finish.

Download the latest updates for Outlook from Microsoft. This will help prevent the most common Outlook errors Google mail users see.

Congratulations! You're done configuring Outlook 2003 to retrieve messages from Google using IMAP while still sending email messages through Harding's campus mail server.

In the email account setup -

 

  • Use CPMAIL.harding.edu for both your incoming and outgoing servers. Supply your Harding username and password to access your incoming mail on IMAP.
  • Click the "more settings" button.
  • Select the "Outgoing server" table and check the "My outgoing server (SMTP) requires authentication".
  • Select "Use same settings as my incoming mail server".
  • Select the "Advanced" tab at the top
  • Under the "Server Port Numbers" section at the top:

o Enter 993 for Incoming Server (IMAP)

o Enter 465 (or 587, see below) for Outgoing Server (SMTP)

o Check BOTH boxes that say "This server requires an encrypted connection (SSL)".

  • Exit the account setup

 

It would be a good idea to shut down Outlook and restart it.

 

Different email clients have problems with these features in different ways due to implementation differences. There is an alternate SMTP port 587 that is actually more efficient than 465 but it is a newer implementation and may not be as widely supported. Some versions of Outlook and Outlook Express don't handle 587 very well apparently. But clients that can use it probably ought to do so.
